Exhibitor Benefits

  • Audience: Access to the largest gathering of baseball executives in the country.
  • Buyer's Guide: Exhibiting companies' contact information will be listed in the print version of the Baseball Trade Show Buyer's Guide that is distributed to attendees at the show, as well as in an online version that is available for attendees throughout the year.   • Badges: Three exhibitor badges per 10-by-10 booth. The exhibitor badge allows admission to the exhibit hall and all educational sessions not requiring an additional fee.
  • Attendee Mailing List: The ability to review the attendee pre-registration list (first name, last name, mailing address and telephone number) so you can cross-reference against existing customers or potential customers for pre-conference marketing purposes. Exhibitors receive a pre- and post-show attendee mailing list. Attendee emails are reserved for Partners only.
  • Exhibitor Newsletter: Exhibitors receive the Baseball Trade Show e-News, a newsletter that provides the latest information about the show and the Baseball Winter Meetings, as well as information to enhance your experience.
  • Exhibitor Referral Program: Refer a new company to the Baseball Trade Show and receive a $100 credit on your exhibit booth registration. The credit will only be valid when the referred company has completed its registration for the Baseball Trade Show and has been accepted and approved as an exhibitor.

Booth Rates

The Early Bird rate is $18 per square foot (includes 10-by-10 spaces up to a 10-by-40 or 20-by-20 in size), if purchased by Aug. 2, for booth spaces up to 400 square feet. Starting Aug. 3, prices will increase to $21 per square foot.

Bulk pricing is available for spaces larger than 400 square feet and start as low as $10 per square foot (e.g., for a 20-by-80 batting cage space). Please see the Booth Rate Chart (right) for more details. An additional $350 is required for a corner booth request.

Standard Booth spaces DO NOT INCLUDE any furnishings. Order information will be included in the Exhibitor Service Kit. PLEASE NOTE: The exhibit hall is pre-carpeted. No booth carpet is necessary in 2017 ONLY. Exhibitors are allowed to place separate flooring.

Non-profit organizations receive a 40 percent discount* on regular booth fees.

*Must be a registered 501(c)(3) charity and provide charitable status documentation to be eligible.

Exhibit Booths Include:

  • 8-feet high tan and white back drape.
  • 3-feet high tan side rail drape on each side.
  • Standard exhibitor ID sign, including company name and booth number (hangs off back drape) for a standard inline booth. Note: ID signs are not available for island booths.
  • Three exhibitor name badges per 10-by-10 space. Additional badges are available for $50 each.
Exhibitor + (Plus)

New for 2017, exhibitors have the option to select a booth package that includes:

  • 10-by-10 booth space.
  • 8-feet high tan and white back drape.
  • 3-feet high tan side rail drape on each side.
  • Standard exhibitor ID sign, including company name and booth number (hangs off back drape) for a standard inline booth. Note: ID signs are not available for island booths.
  • Three exhibitor name badges per 10-by-10 space. Additional badges are available for $50 each.
  • Furniture Package (one table, two chairs and one wastebasket).
  • Half page black and white advertisement in the Baseball Trade Show Buyer's Guide.
  • Custom Listing in the Baseball Trade Show Buyer's Guide.
  • Two Gala Tickets.

Exhibitor + (Plus) Fee - $5,000

Where will your booth be located?

All companies are assigned booth space based on several factors, including, but not limited to: priority points, date application is received, national licensee status, exhibitor booth selection and a balanced distribution of products and services throughout the show floor. Booth assignments will not be made until full payment and a Certificate of Insurance is received or purchased.

Booth Selection Information

If necessary, when making your booth selection choices, please combine multiple 10-by-10 spaces. Use examples below:

  • 1400 = 10-by-10
  • 1400 & 1402 = 10-by-20
  • 1400/1402/1404 = 10-by-30
  • 1400/1402/1301/1303 = 20-by-20
  • and so forth.
Priority Point Scale

Priority Point System

For companies that register prior to July 7, booth locations are assigned according to a priority point system. Exhibitors earn priority points based on factors such as booth size, date of application, partnership and advertising commitments and participation in the Minor League Baseball Promotional Seminar and past Baseball Trade Shows. Booth assignments will be made for all exhibitors who have submitted an exhibit space application, full payment and proof of insurance.

Priority Points Deadline

In an effort to ensure proper booth location and ease the booth assignment process, you must register for the Baseball Trade Show by July 7 to utilize your priority points. Any and all registrations received after this date will be assigned booth spaces on a first-come, first-served basis.

Space Assignment
Organizer reserves the right to assign all space in its sole and absolute discretion without regard to requests and reserves the right to reassign booths when necessary. Due to the large number of participating companies, Organizer cannot guarantee that a company will not be located near a competitor. Confirmation of booth assignments will be sent following assignment of space.
